Atlanta Conference

Planning Meeting

Attending:

 

Moira Steven, Lee Sorensen, Tom Caswell, Liz Gentry, Janet Thomas, Allen Novak, Stephen Patrick, Natalia Lonchyna, Pat Thompson, Sandra Still, Ann Lindell

 

Conference Dates:

 

Dates for the Atlanta Conference are April 26–May 1, 2007.

 

Conference Planning Committee/Positions:

 

Local arrangements co-chairs are Moira Steven, Sandra Still, and Kim Collins. Program co-chairs are Tom Caswell and Ann Lindell.

 

After a discussion about tasks associated with hosting the conference the following chapter members volunteered to coordinate the following activities:

 

Hospitality/Registration: Natalia Lonchyna (with Pat Thompson)

Website/History Exhibit: Stephen Patrick

Local Guide: Jack Miller (volunteered earlier via listserv)

Silent Auction: Liz Gentry

Exhibits Coordinator: Lee Sorensen

 

Budget:

 

Local Arrangements chairs are in charge of the conference budget. Moira Steven has the Banff budget and will be using it as a template to set up the Atlanta budget.

 

Conference Evaluations:

 

We will get the data from the conference evaluations from Banff. (Question: Who designs the forms? Do we do this?) If possible we might do a computerized version at the Atlanta conference.  NEFLIN has a kiosk for on-site polling that can be borrowed. It is possible we could use that or something similar.

 

Conference Planning Communication:

 

There is a conference listserv hosted at Emory for communication among the conference planning committee. Lee Sorensen suggested we might use a “wiki” for communication also.

 

Conference Logo:

 

Questions for headquarters: Who designs the conference logo? Is there HQ support for this? If chapter is responsible, are there funds for hiring a designer?

 

Tours:

 

Moira Steven has developed a list of possible tours for the Atlanta conference.

 

Convocation Venues:

 

Moira Seven is working on the possibility of using a Woodruff Arts Center Space for the Convocation. There may be conflicts with performances though, on the evening we want to do convocation, so we are looking at other possibilities. Kim Collins has secured the High Museum for the Conference Reception, but only for Sunday.

 

Society Circle Event:

 

Sandra Still is working on hosting a Society Circle event at Emory.

 

Miscellaneous Ideas:

 

—Do something with a Gone with the Wind theme. Maybe have the film playing as background at the convocation reception, or use the theme somehow in a fundraiser.

 —Other fundraising ideas: Earthlink, Turner sponsorship?
