The meeting was called to order at 10:52 am and adjourned at 12:02 pm

 

AGENDA

 

1.       Welcome and introductions

President Artis Wick welcomed the members and brought greetings from those unable to attend.  Members introduced themselves.

Report from ARLIS/NA Board - Kim Collins

a.       Responding to the poor economy

·        All around us not-for-profit organizations, especially, are feeling the need to trim staff and reduce programs and support. We have seen jobs lost, travel funding cut, libraries threatened with closure. The Board recognizes the desire to have ARLIS, as a national organization, speak up and we have done this where it is appropriate and hopefully effective. For example, earlier this year Amy Lucker signed on behalf of the board a petition circulated by the College Art Association to “reaffirm the integrity and value of university and college museums”, in response to the selling off of university art museum collections as well as one stressing the importance of resources such as the BHA.

·        The Society is not raising dues or conference fees.

·        We also voted to give space on our WEB page top promote the Google Group and a related LinkedIn Group titled “The Transitions” (to provide a forum for visual resource or art library professionals who, for whatever reason, are in transition in their careers

 

b.      Annual ARLIS/NA Conference. Boston, Massachusetts, April 23-26 http://www.arlisna.org/boston2010/

·        Program - New organization of individual papers vs. sessions; appropriate papers will be put together. Sessions are of various lengths and formats.

·        Location: Conference will be at the Seaport Hotel, mere steps from the wonderful, and equally as new, Institute of Contemporary Art AND at the Boston World Trade Center

·        Special Events: Society Circle will be at Lala Rokh (chef, Azita Bina-Seibel) restaurant.

 

c.       Publications

·        Art Documentation cover re-design contest - members will vote the top 5

·        Art Doc is partially peer-reviewed this fall, fully for spring.

·        All issues of Art Doc will be posted on the members’ area, as well as Occasional papers and technical papers

·        Past conference programs have been scanned and posted as available.

·        “Cataloging Exhibition Publications: Best Practices, Notes” has been issued by the Cataloging Advisory Committee.

·        A new edition of “Facilities Standards for Art Libraries and Visual Resources Collections” is in the works with VRA

·        Core Competencies completed and approved by the board, which asked that the authors combine “art librarians” and “visual resource curators” into “art information professionals.”

·        Position paper on replacing print with electronic resources in the arts was also approved at mid-year.

 

d.      Strategic Plan

·        The Strategic Plan task force is comprised of Sandy Brook, Eumie Imm-Stroukoff, Barbara Rockenbach, Eric Wolf, Jamie Lausch, and Ken Soehner. The plan needs timely, measurable and achievable “smart” goals, with timelines and responsible parties. Budget lines, special funding requests and committee activities should be directed by the plan. The draft deadline is January; we’ll then ask members to comment via Meebo or Webinar.

 

e.       The International Relations

·        2009 study trip to Germany

 

f.        TEI headquarters Update

·        Migrated web content, switched from MembersClicks to their own members database. 

·        Provided the ability to join the society and renewal membership online.                 

·        When you click an interest on the online form, the chair gets an automatic e-mail with your contact information

·        Testing a new listserv software for ARLIS-L                                                                             

·        Taking over the solicitation of advertising and development sponsorship ASKS

 

g.       Other Announcements

·        Loss of the ARLIS/NA tax-exempt status (a comedy of errors) has been successfully resolved.

·        ARLIS/NA Lunchtime Chats, using Meebo,

·        September 18th, Visual Literacy in Your Library

·         October 16, Transforming Visual Resources in the 21st Century

·         November (date/time TBA): Library Marketing Begins with Our Users transcripts available, http://www.arlisna.org/chats/visres-transcript.pdf

·        Kim will take back the question of making ARTDOCS open access to the ARLIS/NA Board.

·        There are a total of 42 paid up members for 2009.

·        There are a total of 21 paid up members for 2010.

 

5.       Webmaster’s report- by Natalia Lonchyna

·        Domain names, arlis-se.org and arlis-se.com have been renewed (through DomainDiscover)

·        Prices of the domains have dropped from $16.00 to $10.98 per year.

·        MyHosting.com has also been paid until August 2010 for hosting the Web site.

·        Updated on the Web site:

o       Membership directory to 2009

o       LoPresti winners for 2008

o       Current officers for 2009

o       ArtFacts, January and June 2009

o       Early next year, the 2010 membership will be posted

 

Items for discussion:

·        TEI, the new ARLIS/NA management company. TEI is now hosting listservs and Web sites for the chapters. Natalia proposed to move our Website there as well; moreover, there is no cost to us. However, the domain name would change to: http://southeast.arlisna.org or some other variations.  Natalia reported that she has been corresponding with the Web master of the Midstates Chapter who were pleased with the new company. Most of the other websites are hosted by universities or independently.

·        Suggestions to improve the Website are always welcome. Forward suggestions to Natalia (nlonchyna@ncmamail.dcr.state.nc.us )

 

6.      Newsletter Editor’s report (Artis Wick on behalf of Cary Wilkins)

Reminder of deadline for Artifacts news, articles and photos for January issue is December 4. New members are invited to submit brief bios with photos to introduce themselves.

·       Stephen Patrick has created a Facebook page. Participants agreed that a virtual exposure is good. However, questions came up about postings (who, how often, logo…). Anyone with suggestions, please get back to Artis (artis.wick@ringling.org)

·       2010 Chapter Conference November 10-13. Location: Cartersville, Georgia. Booth Western Art Museum. Submit proposals to Liz Gentry for presentations at the conference.
