Chapter Conference Business Meeting
ARLIS/NA VRA Joint Conference, St. Louis, Missouri
March 23, 2002


Meeting called to order at 4:05 pm.


Chapter President Roberto Ferrari welcomed ARLIS/SE chapter members and
ARLIS/NA South Regional Representative Paula Hardin.


OLD BUSINESS


Membership Status
Secretary/Treasurer Kathleen List reported that membership stands at 59,
including six Lifetime members and four new members. Fifty percent of
the membership still needs to renew for 2002.


Archives
Roberto reported that Lee Eltzroth has prepared a descriptive inventory
of the chapter archives up to the presidency of Kim Collins. Roberto has
emailed Melissa McDonald, with contact to Steve Majure (SCAD), to send
archival files she has to Lee Eltzroth for inventory, and he distributed
copies of the inventory document to date. When complete Lee will send
the files to Duke University for deposit. Kathleen has reviewed the
deposit agreement document between ARLIS/SE and Duke with Lee Sorenson.
Duke will do the physical process of the files as part of the agreement.


Conference Welcome Party
Roberto reminded the members of the chapter's sponsorship of the
conference welcome party with our $300 contribution.


ALA Arts Section Program
Stephen Patrick is working on the Artist's Books program we are
sponsoring at the 2002 summer ALA conference in Atlanta. The $250
approved by the chapter will be used to offset expenses.


Treasurer's Report
For fiscal year 2001(January - December), Secretary/Treasurer Kathleen
List reported income of $2,505.00 including membership dues, conference
fees, LoPresti raffle proceeds, and an ARLIS/NA grant of $500. Expenses
for fiscal year 2001 were $2,361.02, including 2001 conference expenses,
Welcome Party donations for the Los Angeles and St. Louis annual
conferences, bank fees, postage, office supplies, and LoPresti award
expenses. (Detail of the Treasurer's report was distributed at the
meeting.)
For fiscal year 2002 income for the period 1/1/02 to 3/22/02 is $30 in
2002 membership dues. Expenses for the period were $122.83 including
payment for domain name registration (2 names/2years), 2001 conference
postage and 2001 LoPresti Award expenses.


The balance on hand on 3/23/02 is $1,927.96.


ARTifacts Editor's Report
Newsletter editor Cary Wilkins announced that May 4 is the next
newsletter deadline and suggested members send short articles about
their activities at this conference. Contact information for Cary is
included at the end of the minutes.


Webmaster's Report
Webmaster Sarah McCleskey announced the new chapter website URL:
www.arlis-se.org, hosted at SEFLIN. The chapter purchased this address
and www.arlis-se.com, each for two years at $16.00 per year for each
address from Buydomains.com. Thanks to Sarah for working this through
for us and for the redesign of the web page. The pages are based on
templates in Dreamweaver, with web page colors chosen from those on the
cover of LoPresti winner Souls Grown Deep. The membership list is now
alphabetical, and she updated all the corrections submitted earlier to
other pages. Sarah will by contact graduate library science programs to
see if they will add a link from their home pages to ours. There was a
brief discussion following a suggestion about adding photos of the
offices at the website.


Listserv Report
Listserv Manager Ann Lindell reported on earlier problems of access to
the listserv. She will change the default setting so that senders can
see copies of their messages.


Historian's Report
Chapter Historian Stephen Patrick will be sending updates to the chapter
history to Sarah for the web site. ARLIS/NA South Regional
Representative Paula Hardin requested we send names of our members
involved in national and chapter-level leadership activities. Natalia
will send a request for this information to the Listserv, compile it,
and send it to Paula or her successor.


LoPresti Award Committee
LoPresti Committee Chair Tom Caswell reported that one hundred and forty
letters have been sent to publishers, with an August 31, 2002, deadline
for receipt of submissions (i.e. those with 2001 publication dates).
LoPresti Committee members are Tom Caswell, Ann Lindell, Ellen Anderson,
and Allen Novak, who will receive the publications at Ringling School.

NEW BUSINESS


Membership Recruitment
ARLIS/NA South Regional Representative Paula Hardin told us that
membership recruitment is not a mandate of ARLIS/NA. Roberto sent
ARLIS/SE conference information to the Caribbean ARLIS/NA members.
Recruitment ideas included having a membership coordinator, an ARLIS/NA
representative at library science career fairs, mentoring potential new
members by paying their ARLIS/NA student-level dues, providing a
scholarship to our regional conference. Kim Collins volunteered to
pursue the idea of membership coordinator. Stephen Patrick will provide
an ARLIS table at the next SELA meeting. Kathleen List reminded the
members of the importance of retention efforts with prior/existing
members.


2002 Annual Conference Plans
Vice-President Moira Steven gave a progress report on the fall chapter
conference in Asheville, NC. Asheville seasonal lodging rates are high
between mid-October and Christmas. Attractions in the Asheville area
are dispersed, so transportation is an issue. Though we do not have an
ARLIS/SE member in the area, Lee Sorenson and Patrick Stephen said that
ARLIS/NA member Helen Wykle in the area may be willing to assist with
venue information. Moira prepared an action plan and met with the
planning committee following the chapter business meeting. The ARLIS/NA
grant for $500 for the conference was approved and Kathleen will request
the check from the new ARLIS/NA treasurer following this conference.


Executive Board Update
South Regional Representative Paula Hardin has accepted a position at
OCLC and her role as our representative will come to an end when she
moves to begin that position. Paula has brought the following issues
before the ARLIS/NA board: chapter meetings should be given scheduled
meeting times at annual conferences; planned programs on specific
subjects for continuing education should be offered at every annual
conference; continuing education (CE) units should be considered;
program proposals of merit which get turned down for an annual
conference should be advanced and supported at subsequent conferences;
programs in leadership and management skills are desirable (Kathleen
noted that the new Management Roundtable proposed and presented two at
this conference); there should be discussion about the relative value of
division meetings and Update columns.


Motion: Moira Steven proposed the chapter send a letter to the ARLIS/NA
board supporting organizational structural review. Second by Roberto
Ferrari. Motion passed. Roberto will take responsibility for the
letter.


Acknowledgments
Roberto gave recognition and appreciation to Paula Hardin, Natalia
Lonchyna, Kathleen List, Sarah McCleskey, and Cary Wilkins for their
service to the chapter this year.


Chapter Members' News
Sarah McCleskey's announced that the Clemson University Architecture
Library has a newly-funded position of Visual Resources/Reference
Librarian. The position has been posted.


Ringling School of Art and Design has a new technology building under
construction to house a Multimedia Lab and Institutional Technology.
Kathleen List is chair of the Academic Technology Committee that is
working on the Multimedia Lab.


Moira Steven reported that the Atlanta College of Art Library and the
High Museum Library are being considered for a possible merger.


Pat Thompson reported that UNC and the music library are also being
considered for a possible merger.
